How we handle your personal and dental information at Eazzy Dental Clinic.
1. Who we are
Eazzy Dental Clinic is a general dental practice on Ngara Road, Nairobi. This policy explains what we do with information about you, both when you visit this website and when you come to the clinic as a patient. It is written to meet our obligations under the Kenyan Data Protection Act, 2019.
2. Information we collect
When you use this website
If you accept cookies, our analytics and advertising partners collect information about your visit, such as the pages you view, roughly where in the world you are, the type of device and browser you use, and the site or advert that sent you here. If you decline, none of that is collected and no such cookies are set. Our hosting provider also keeps standard server logs, which include IP addresses, for security and troubleshooting.
When you contact us
When you call, send a WhatsApp message or email us, we receive whatever you choose to tell us. That normally includes your name, your phone number or email address, and the dental problem you want help with.
When you become a patient
To treat you safely we keep a clinical record. This includes your contact details, your medical and dental history, medication and allergies, notes made at each appointment, X-rays and clinical photographs, treatment plans, and a record of what you have paid. Health information is sensitive personal data and we treat it accordingly.
3. Why we use it
- To provide dental care and to keep an accurate clinical record of it.
- To arrange, confirm and remind you about appointments.
- To answer your questions and give you a quote.
- To take payment and keep the accounting records the law requires.
- To understand how the website is used, and how people found us, if you accepted cookies.
- To meet legal, regulatory and professional obligations.
4. Cookies and tracking
Cookies are small files stored by your browser. We use two kinds:
- Necessary storage. We record your cookie choice in your browser so we do not ask you on every page. This is not used for tracking.
- Analytics and advertising cookies. These are set only if you press Accept. They may include Google Analytics, the Meta (Facebook) pixel and the TikTok pixel. They help us see which pages are useful and whether our adverts reach the right people.
You can change your mind at any time using the cookie settings link, or by clearing cookies and site data in your browser. Declining does not affect any part of the site or your care at the clinic.
5. Who we share it with
We do not sell your information, and we never share patient records for marketing. We share information only where it is necessary:
- With dental laboratories that make crowns, bridges or dentures for you.
- With specialists or hospitals when we refer you, with your knowledge.
- With our website host, and with Google, Meta and TikTok if you accepted analytics and advertising cookies.
- Where the law, a court or a professional regulator requires it.
Some of these providers are outside Kenya, which means your information may be processed abroad under their own safeguards.
6. How long we keep it
Clinical records are kept for as long as professional and legal requirements demand, which is normally several years after your last visit, and longer for children. Enquiries that do not turn into appointments are kept only as long as needed to answer them. Analytics data is kept according to the retention setting of each provider.
7. Keeping it safe
Patient records are held in a controlled clinic system with access limited to staff who need it for your care. This website is served over an encrypted connection and does not collect any information through forms.
8. Your rights
Under the Data Protection Act, 2019 you may:
- Ask what personal information we hold about you and get a copy.
- Ask us to correct anything inaccurate.
- Ask us to delete information, where we are not required to keep it.
- Object to, or ask us to restrict, certain uses of your information.
- Withdraw consent for cookies or marketing at any time.
To exercise any of these, contact the clinic on info@eazzydental.co.ke or 0713 345 700. If you are not satisfied with our response you may complain to the Office of the Data Protection Commissioner in Kenya.
9. Children
We treat children, and their records are handled with the same care as any other patient's. A parent or guardian must consent to treatment and may exercise these rights on the child's behalf.
10. Changes to this policy
If we change how we handle information we will update this page and the date at the top. Photographs on this website are stock images used for illustration; they are not patients of the clinic.
